Reservations & Operations Assistant

Belmond is seeking a Reservations & Ops Assistant for Venice Simplon-Orient-Express, the legendary train that transports guests to the Golden Age on captivating journeys across Europe.

ABOUT THE ROLE

Then you could be perfect for the role of Reservations & Ops Assistant for one of the world’s most iconic trains.

As a Reservations & Ops Assistant, you will:

• manage all aspects of staff travel arrangements, including hotel bookings, flight reservations, and ground transportation (trains, flights), ensuring a seamless travel experience.
• utilize your advanced programming skills to operational plan with different providers, optimizing scheduling efficiency.
• maintain and update department cost files to facilitate data analysis for senior operations to enable effective cost monitoring and improved planning.
• Be responsible for entering and maintaining accurate data on general yearly planning that includes: dates, timings, stations, occupancy, meals and other requirements.
• Create advanced guest requirements reports for all on-board departments, ensuring luxury experience is delivered.
• Organise and coordinate transfers for passengers' arrivals & departures based on deep knowledge of Venice logistics, being the main contact for transfer providers.
• Collect information from different channels ( Reservation Office, Travel agents, Data system ) to convey proper and clear information to staff.
• Monitor stock supplies in coordination with the warehouse, ensuring that the department's needs are consistently met. You will prepare and complete different suppliers' documentation accurately and efficiently.
• Ensure compliance with safety regulations and protocols, including those established by the railway authorities.
• Follow environmental regulations and take measures to minimise our environmental impact. Be as environmentally aware as possible in all that you do.

1. The compensation will be aligned with the candidate's level of experience.

2. The position is based at our offices in Marghera (Venice).

3. This is a full-time role with an initial fixed-term contract, providing opportunities for advancement.

Requirements

• Preferably a Bachelor's or Master's Degree
• Professional English, Italian and/or French language skills (spoken and written)
• At least 1 year of experience in luxury companies
• Preferably knowledge of Venice city and its logistics
• Highly advanced Excel skills to effectively support spreadsheet and data-related tasks
• Advanced capability in managing and maintaining guest-related information through specific systems, ensuring accuracy
• Guest-oriented and service-minded

• Ability to use initiative and be proactive
• Ability to work under pressure
• Availability to work with flexible timings both on weekdays and weekends, including bank holidays
